The context
A veterinary clinic in the Verona province was running entirely on paper. The appointment book was a physical notebook, patient records lived in filing cabinets, and recall reminders for vaccinations were handled manually — when they were handled at all. The receptionist spent most of the day on the phone scheduling and rescheduling appointments.
The challenge
No-shows were a constant problem because there was no reminder system in place. Pet owners simply forgot. When a patient came in, the vet had to search through physical folders to find their history, sometimes taking several minutes mid-visit. Vaccination and treatment recalls depended on someone remembering to send them, which often did not happen. The clinic needed to modernize without disrupting the team's daily routine.
The solution
We built an integrated portal that covers booking, records, and communication:
- Online booking system with real-time availability so pet owners can schedule appointments directly
- Digital patient records with full visit history, vaccinations, treatments, and notes
- Automatic email reminders sent before appointments via Resend, reducing forgotten visits
- Vaccination and treatment recall system that notifies owners when follow-ups are due
- Quick-search interface so vets pull up a complete patient history in seconds during consultations
The results
No-shows dropped dramatically once automatic reminders went live. The receptionist now spends about half the time on booking that she used to, since most appointments come in through the online portal. During visits, vets access complete patient histories in seconds instead of digging through paper files. The recall system means vaccinations and follow-ups actually happen on schedule, which is better for the animals and better for the clinic's revenue.
