Email threads with 47 replies, documents scattered across Google Drive, the local server, and random email attachments. No clear view of where any project actually stands. Sound familiar? This architecture studio in Verona was managing everything through email and shared folders — and it was costing them serious time.

Finding the latest version of a drawing meant digging through folders and hoping the file name gave enough clues. Clients would ask for progress updates, triggering a chain of internal emails just to piece together an answer.

What we built

We created a dedicated project portal designed around how architecture projects actually flow:

  • Project spaces — each project gets its own area with all related documents, communications, and status updates in one place.
  • Progress tracking — clear stages from brief through concept, design development, approvals, and delivery. Everyone sees where things stand at a glance.
  • Document versioning — every file upload is tracked. Previous versions are always recoverable. No more "final_v3_REAL_final.pdf" confusion.
  • Centralized communication — project discussions happen inside the portal, not scattered across inboxes.
  • Deadline alerts — automatic notifications when milestones are approaching or overdue.

How it changed things

Clients now get a read-only view of their project — they can check progress and download documents anytime without sending an email. That alone eliminated a huge volume of back-and-forth.

Finding any document or any version of a document takes seconds. Need the second revision of that floor plan from three months ago? Two clicks and it's on your screen.
